What we collect and why
- Messages and booked calls
- Your name, email address and message, and your company and phone number if you give them. In the contact chat, each answer is sent and kept as part of your message. If you book a call, you give the same details and a time on our booking page. We use this to answer you and prepare the call. Basis: steps you ask for before a possible contract, and our legitimate interest in answering business questions (Art. 6(1)(b) and (f) GDPR).
- Job applications
- Your name, email address, phone number, CV and answers to the questions for the role, and your LinkedIn profile and motivation if you add them. Only the people at Albus who hire see them, to assess your application and contact you about it. Basis: steps before a possible employment or freelance contract (Art. 6(1)(b)).
- Page counts on our server
- For every page request: the page address, the page you came from, your browser’s language, a country, and the type of browser, operating system and device. The server shortens your IP address to its first three blocks before anything is stored, and keeps neither the full IP address nor the user agent. Nothing runs in your browser for this. Basis: our legitimate interest in knowing how many people visit which pages (Art. 6(1)(f)).
- Statistics in your browser
- The pages you view, the page and campaign link (UTM) that brought you here, and the outside links and contact buttons you click. Also how far you scroll, where you click (for heatmaps of all visitors together), how fast pages load, and your steps in our forms, never what you type. Your browser’s language and user agent and a country based on your IP address go along. We do not store your IP address. A one-way code made from your IP address and browser, which changes every day, groups the pages of one visit. Basis: our legitimate interest in knowing which pages, links and forms work (Art. 6(1)(f)). You can object with the switch below. If your browser sends Do Not Track or Global Privacy Control, this does not run.
- Recording and recognition, only with your consent
- A replay of your visits: what you see, your clicks and scrolling, with every form field hidden. A random visitor number kept in your browser, so we recognise you when you come back. If you send us a message, that number goes with it, so we see which pages you read first. Basis: your consent (Art. 6(1)(a), and the Belgian rules on storing information on your device). None of this runs until you say yes, in the banner or with the switch below.
- Server logs
- Your IP address, user agent and the time of each request, kept by our hosting and our content delivery network. Basis: our legitimate interest in keeping the site running and secure, and preventing abuse (Art. 6(1)(f)).
Giving us data is voluntary. To answer a message we need at least your name and email address, and to assess an application the details its form asks for. We make no automated decisions about you, including profiling, with legal or similarly significant effects.
Who receives it
Besides the people at Albus, these providers process data for us:
- Hosting in the EU, for the website, messages, applications and statistics.
- A content delivery network, which delivers the site and protects it against abuse. It is a US company, certified under the EU-US Data Privacy Framework, with the European Commission’s standard contractual clauses as a fallback.
- Email providers in the EU and in Switzerland, which has an adequacy decision from the European Commission.
- A booking service, if you book a call.
How long we keep it
- Messages
- 7 years after the last contact. If it leads to a contract, the message goes into the client file, which we keep for 7 years after the last transaction (Belgian accounting law).
- Job applications
- 12 months after you apply. If we hire you, it moves to your personnel file instead.
- Server logs
- Up to 12 months.
- Statistics, page counts and recordings
- 25 months.
- Clients and requests
- Other periods apply, at least as long as needed to answer you.
- In your browser
- Your choices stay until you clear your browser’s storage. The visitor number stays until you withdraw consent, switch statistics off or clear that storage.
Your rights
You can ask us for access to your data, to correct or erase it, to restrict its use, or for a copy in a machine-readable format. You can object to any use based on our legitimate interest. If you gave consent, you can withdraw it at any time; that does not make earlier use unlawful. Email [email protected].
You can also complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données, dataprotectionauthority.be), or to the authority where you live or work in the EU.
