- —Excel schedules sent as WhatsApp screenshots
- —Paper reports, typed up the next morning
- —No visibility into what was happening in the field
- —Margin data at month-end, if it surfaced at all
- Schedules sent instantly to mobile apps
- Digital reporting with client sign-off on the spot
- Live operations dashboard for management
- Task-level margin data, visible in real time
The situation
A field marketing and technical installation agency with hundreds of field workers across several locations. Planners built schedules in Excel, then managers took screenshots and sent them to workers on WhatsApp. Workers filled in reports on paper. Nobody had real-time visibility into what was happening, the margin data was unreliable, and there was no way to match the right worker to the right task.
The architecture
We built a multi-service system around a single database, with a data model shaped to the work this company does. Planners and managers use the desktop application to create tasks, pick workers by skill and availability, generate schedules and send them out. People on site use the mobile application to receive their schedule, do the work, report as they go and get the client to sign off digitally. Both applications use the same data layer, so the office sees every update from the field the moment it happens.
The result
Schedules that took hours to distribute now reach field workers instantly. Paper reports are gone. Management sees operations while they happen, not afterwards. With planning and time tracking in one system, they got margin figures they'd never had: what each task was planned to cost and what it actually cost to deliver. As new needs came up, we added application layers on top of the same core instead of replacing it.
